Team & Permissions
F1 uses a role-based permissions system. Every member of your organization has one of four roles that controls what they can see and do.
Roles
Roles are set per organization (not per project). A person's role applies to everything inside your org.
| Permission | Owner | Admin | Member | Viewer |
|---|---|---|---|---|
| View all projects and tasks | ✓ | ✓ | ✓ | ✓ |
| Create and edit tasks | ✓ | ✓ | ✓ | – |
| Add comments | ✓ | ✓ | ✓ | – |

| Edit project settings | ✓ | ✓ | – | – |
| Invite team members | ✓ | ✓ | – | – |

| Manage API keys | ✓ | ✓ | – | – |
| Manage webhooks | ✓ | ✓ | – | – |
| Configure Slack integration | ✓ | ✓ | – | – |

| Delete the organization | ✓ | – | – | – |
| Transfer ownership | ✓ | – | – | – |
Owner — full control over everything in the organization, including billing, org settings, and the ability to delete the org. There is exactly one owner per organization.
Admin — can do everything except manage billing or transfer ownership. Good for team leads and project managers.
Member — can create and edit tasks, leave comments, and participate fully in day-to-day work. Cannot manage org settings.
Viewer — read-only access. Can view projects and tasks but cannot make any changes. Useful for stakeholders or clients.
How to invite team members
Only owners and admins can send invites.
- Go to Settings → Team from the sidebar.
- Click Invite member.
- Enter the person's email address.
- Select their role (Admin, Member, or Viewer — you cannot invite someone as Owner).
- Click Send invite.
The invite appears in the Pending invites section of the Team page until it is accepted or revoked.
Accepting an invite
The invitee receives an email with a unique link. Clicking the link takes them to the F1 accept-invite page:
- If they don't have an F1 account yet, they'll be prompted to create one (name + password).
- They click Accept invite.
- They're added to your organization immediately and redirected to the dashboard.
Invite links are single-use and expire after 7 days. If a link expires, resend the invite from the Team page.
Removing a member
Owners and admins can remove members from the Team page:
- Go to Settings → Team.
- Find the member in the list.
- Click the Remove button next to their name.
- Confirm the action in the dialog.
Removing a member does not delete their tasks or comments — those remain attributed to them but they lose access immediately.
Admins cannot remove the owner or other admins — only the owner can remove admins.
Revoking pending invites
If you sent an invite by mistake or want to change the role before the person accepts:
- Go to Settings → Team.
- Find the invite in the Pending invites section.
- Click Revoke.
The invite link is invalidated instantly. You can send a new invite with a different role at any time.
